Introduction

The purpose of this policy is to outline the conditions under which classes may be cancelled and refunds issued

Definitions
  • Early cancellation – A late cancellation occurs when a player cancels their attendance to a class with more than 10 hours ahead of its scheduled start time.
  • Late cancellation – A late cancellation occurs when a player cancels their attendance to a class with less than 10 hours ahead of its scheduled start time.
  • No show – A ‘no show’ to a class occurs when a player’s attendance is not recorded in Mindbody.

Operations – Adult Coaching

Player obligations

  • Early cancellations through Mindbody will not incur any cancellation fee.
    • The class fee will automatically be refunded.
  • Late cancellations through Mindbody may incur a $5 fee late cancellation fee.
    • The class fee will not be automatically refunded.
    • The purpose of this fee is to encourage commitment to attend booked training sessions. Late cancellations can take the spot of other players wanted to train.
    • It will be at the discretion of CBVA to waive this fee and/or refund the class to the player.
  • If a player’s attendance is not recorded (i.e. a ‘no show’) then they may be charged a $5 no show fee.
    • The class fee will not be automatically refunded.

CBVA Coach obligations

  • If a training class is unable to proceed (due to poor or dangerous weather conditions, or otherwise), the coach must cancel the session in Mindbody as soon  as practicably possible.
  • The class fee will be automatically refunded.

Poor or Dangerous Weather Cancellations

  • Cancellations relating to weather are usually made 75-90 minutes (latest 60 minutes) in advance of the training session start time.
  • Participants will receive an email if their scheduled training session has been cancelled.
  • Beach volleyball is an outdoor sport played in most conditions, provided it does not compromise player safety. Forecast rain will not necessarily result in a training session being cancelled.
    • If the rain is light or patchy, the session will likely go ahead.
    • If the rain is heavy, the session will likely be cancelled.
    • The path and intensity of thunderstorms are sometimes difficult to predict, and classes may be cancelled to ensure player safety.
